GLUCKSMAN IRELAND HOUSE
POLICIES AND PROCEDURES FOR BUILDING USE

1.  All facilities at New York University are governed by the Guidelines for the Use of University Facilities and the laws of New York City, State and the Federal Government.  Facilities at NYU may be used only for lawful purposes consistent with the educational mission of the University. Hence, there are a number of conditions that non-University organizations must meet before they will be granted permission to use any room, auditorium, or other facility at NYU. General rules applicable to all University facilities include:

· Your organization may use University facilities only for the purposes for which they were reserved.
· University facilities are not available to non-University organizations for use in political activities.
· Smoking is prohibited.
· No tipping of University personnel is permitted.
· Gambling activities, including raffles, lotteries and games of chance, are prohibited.
· There can be no obstruction to exits from rooms or buildings.
· Displays or decorations may not be used unless written approval has been obtained from a University official.  No alteration of the building is permitted.
· Events must begin and end at scheduled times.
· The University will not be liable for any loss of, or damage to, property of any persons attending the organization’s event at the University.
· Food, alcohol, and non-alcoholic beverages may be served only in University facilities which are equipped for dining. All organizations are subject to applicable laws, regulations, and University policies regarding the service and consumption of alcoholic beverages.

2.  All requests for reservations must be made at least two weeks in advance of proposed event. Once a reservation is confirmed all other requests for that date and time are denied. Therefore in the event of a cancellation occurring less than one month prior to the event the total fee will be charged.

3.  Rental fees are assessed on basis of half-day (four hour period) or full day (eight hour period).

4.  Event Insurance: all external groups must submit certificate of event insurance (including liquor liability) in the amount of $1 million naming Glucksman Ireland House NYU as additional insured.

5.  Security fee: an officer from NYU Protection Services must be present for the duration of events held outside normal business hours (Mon-Fri 9am to 5pm) to protect the property and fulfill liability. The current rate is $32 per hour. This charge is in addition to the rental fee and cannot be waived. If the event is co-sponsored by GIH the security fee will be charged to the second party.

6.  Renting parties will be responsible for arranging catering services and equipment and will provide caterer’s name and contact information.

7.  Renting parties will request a particular furniture set-up in discussion with Glucksman Ireland House staff. Once the set-up is finalized renting parties must not move or in any way interfere with furniture or fixtures. The reception area may be used to display printed materials on the table or on easels and may also be used for event registration purposes. Renting parties may not attach illustrations or decorations to walls or surfaces. The cost of any damage to Glucksman Ireland House furniture, fixtures or décor will be billed to the renting party.

8.  Renting parties are responsible for general post-event clean up. Directions will be provided.

9.  Glucksman Ireland House cannot be responsible for any items left after an event.

10. The upper floor of Glucksman Ireland House is strictly off-limits.

11. Glucksman Ireland House NYU does not host weddings.
